Key Responsibilities

1. Cleaning, Hygiene & Staff Supervision 
In this role, you will lead, train, and supervise the cleaning staff to uphold the highest cleanliness standards across all areas, including meeting rooms, lounges, and restrooms. You will develop and implement effective cleaning schedules to ensure tasks are completed thoroughly and on time. Monitoring hygiene levels is essential, and you will take corrective actions when necessary. Regular performance reviews and on-the-job coaching for staff will be part of your responsibilities, as will ensuring that cleaning supplies are adequately stocked and efficiently managed.

2. Security & Safety Compliance 
You will oversee security personnel to maintain access control, visitor management, and adherence to safety protocols. This includes managing CCTV systems, access logs, visitor check-ins, and member access cards. Developing and implementing emergency procedures, along with conducting regular safety drills, will be vital to ensuring a safe environment. You will also ensure that the facility complies with all health, safety, and environmental regulations.

3. Maintenance Management 
Coordinating and supervising maintenance tasks for HVAC, electrical, plumbing, and other building systems will fall under your purview. You will schedule and manage preventive maintenance to avoid disruptions and proactively identify and address maintenance issues to maintain functionality. Collaborating with contractors and vendors for specialized repairs will also be part of your responsibilities.

4. Vendor & Contractor Coordination 
You will manage relationships with vendors and contractors for various services, including maintenance and cleaning. Monitoring vendor performance to ensure quality service meets expectations is crucial. You will negotiate and manage vendor contracts to secure cost-effective services.

5. Inventory & Supplies Management 
Monitoring and managing stock levels of cleaning supplies, office materials, and maintenance equipment will be key to your role. Timely procurement and restocking are essential to prevent shortages. You will work closely with the front desk to manage locker allocations, keys, and access cards.

6. Reporting & Budget Management 
Preparing and presenting reports on facility status, maintenance tasks, and vendor performance will be part of your duties. You will track expenses related to cleaning, maintenance, and utilities to ensure adherence to budgetary constraints. Assisting in planning and managing budgets for facility improvements and operational needs will also be essential.

Key Skills & Requirements

To be successful in this role, you should have:

  • Experience: 3+ years in facility management, with a preference for candidates from the hospitality industry.
  • Knowledge: Familiarity with building systems (HVAC, plumbing, electrical) and maintenance best practices.
  • Leadership: Strong experience in supervising and training cleaning and service staff.
